ProspectSoft CRM Integration

The ProspectSoft CRM solution integrate seamlessly, and interact extensively, with several leading accounting software systems, including small and medium business accounting software Exchequer Enterprise from Exchequer Software, Pegasus Opera and Pegasus Opera II from Pegasus Software and the Sage 200 Suite, all of which are available from HBP Systems. In addition ProspectSoft also integrates with Access Dimensions and Dimensions Lite as well as Sage Line 50, Line 100 and Line 500. Its principal links are with Sales Ledger, Purchase Ledger, Stock and Pricing and, in some cases, Sales Order Processing.

Sales Ledger

Customer details can be exported from the Sales Ledger and imported into ProspectSoft CRM, to create the initial ProspectSoft CRM database. This is a one-time transfer. CRM users can then access and view the associated Sales Ledger Account front screen (notepad and transactions). Drill-down to view individual ledger account invoice images is possible, as are updates to the notepad. New Sales Ledger accounts can be created from within ProspectSoft CRM, while both the CRM software and the accounting software can maintain existing account address details. Sales ledger information is accessible to office-based CRM users and to those on the road - which can put critical customer details into a mobile computing environment.

Purchase Ledger

Through ProspectSoft CRM, non-accounting software users can, quickly and easily, access key purchase ledger information, including summary balances and individual transactions. Drill-down to individual transaction images such as invoices, is also possible, as are updates to the notepad. New purchase ledger accounts can be created from within ProspectSoft CRM Software, while supplier details such as address and telephone number are automatically maintained across both the accounting software and ProspectSoft CRM software. Network users view ledger information in real time, while remote and mobile users have access through regular updates. Where there are multiple suppliers of a product, their prices and delivery times can be compared to satisfy key customer criteria.

Purchase History is also available and has comparable functions to ProspectSoft CRM Sales History.

Products and Pricing

Stock and price details are updated to ProspectSoft CRM, so that users can confirm stock references, descriptions, and prices, along with standard discounts. Levels of total, available and on order stock may be easily viewed. Quotations can be generated in ProspectSoft CRM, using this stock and price information from the accounting software. This functionality is available to office-based users and to users on the road, with laptop or tablet PCs and PDAs. This ability to check stock and prices, and to prepare quotations while on a customer's site, is another important element of ProspectSoft's mobile computing concept.

Sales Order Processing

ProspectSoft CRM quotations are converted to Orders on demand, for processing in the accounting system's SOP. Credit limits and stop flags are checked automatically during conversion. If no sales ledger exists, a new account can be created automatically by ProspectSoft CRM. Once again, this order entry facility is available to users like order-takers and merchandisers on the road, as part of our commitment to mobile computing.

Sales Order Processing for Telesales

As well as general Sales Order Processing, telephony integration (see below) and specialised CRM solutions like our Rapid Order Entry options put ProspectSoft CRM firmly into the Telesales Solution arena, where speed and accuracy of product, price and customer data are essential.

Telephony integration

The ProspectSoft CRM solution is compliant with Microsoft's TAPI standard, so it can be integrated "out of the box" with most widely used telephony systems to manage outgoing and incoming calls. Users can automatically call companies or individuals from any customer or supplier record, while incoming caller details are displayed clearly, but unobtrusively. The system recognizes a DDI, switchboard or mobile number, or will find the closest match. The caller's details are then instantly accessible.

MS Office integration

All outgoing emails, faxes, letters and spread-sheets are generated and held against the customer or supplier record, or may automatically be linked to individual sales opportunities, customer problems or supplier queries. Incoming documents, hardcopy or electronic, may be stored in the same location, providing instantly accessible and reliable document management.
